Who we are
CivPoint Ltd ("CivPoint", "we", "us") is the controller of the personal information described in this notice. We are registered in England and Wales, company no. 14539841, with our registered office at 30 High Street, Cradley Heath, B64 5HL.
For any question about this notice or your information, email info@civpoint.com or call +44 (0) 7754 122 471.
What we collect
- Enquiry form: your name, company, work email, phone number (optional), the service and project details you choose to give us, and your message.
- Email and phone: the contents of messages you send us and the contact details they carry.
- Clients and their teams: names, roles and business contact details of people we work with on appointments, and site records such as inspection photographs, which may incidentally show people on site.
- Technical data: our hosting provider keeps standard server logs (IP address, browser type, pages requested and time) for security and fault-finding.
We do not ask for special category information, and we ask that you do not send it to us.
How we use it, and our lawful basis
- To reply to your enquiry and prepare a proposal — steps taken at your request before entering into a contract, and our legitimate interest in responding to business enquiries.
- To deliver our services — performance of our contract with you or your organisation.
- To keep business and project records — compliance with legal obligations (for example tax and company records) and our legitimate interest in being able to evidence our work if it is later questioned.
- To keep this website secure and working — our legitimate interest in running a safe website.
We do not use your information for automated decision-making or profiling, and we do not sell or rent it to anyone. We will only send you marketing email if you have asked us to, and you can stop it at any time.
Who we share it with
We share personal information only where needed to run our business: with our website and email hosting provider, our IT and accounting service providers, our professional advisers and insurers, and — for project work — with the client and project team you have engaged us to work with. These providers act on our instructions and must keep your information secure. We may also disclose information where the law requires it.
International transfers
Our website and email are hosted on servers in the European Economic Area, which the UK recognises as providing adequate protection. If any provider processes information elsewhere, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement.
How long we keep it
- Enquiries that do not lead to an appointment: up to 12 months from our last contact.
- Client, contract and project records: up to 6 years after the project ends, or 12 years where the work was carried out under a deed, so that we can respond to any later claim.
- Server logs: kept by our hosting provider for a short period, normally no more than 90 days.
Your rights
Under UK data protection law you can ask us for a copy of your information, and ask us to correct it, delete it, restrict how we use it, or transfer it to you or someone else. You can object to us using it on the basis of legitimate interests, and withdraw any consent you have given. To make a request, email info@civpoint.com. We will respond within one month.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Security
Our website is served over an encrypted connection, enquiries are sent directly to our own mailbox, and access to our records is limited to the people who need it. No method of transmission or storage is completely secure, but we take reasonable steps to protect your information.
Cookies
This website does not set any cookies, and we do not use analytics, advertising or tracking tools. Our pages load fonts from Google Fonts, which means your browser connects to Google's servers and shares your IP address with Google so the fonts can be delivered. Google's use of that information is covered by its own privacy policy.
If we add analytics or any other non-essential cookies in future, we will ask for your consent first and update this notice.
